Privacy Policy

This policy explains how Progreen Waste Removal Ltd (“we”, “us”) collects and uses personal data when you use progreenwaste.co.uk or contact us through it. We are the controller of that data. Our contact details are at the end of this policy.

The short version

• We use what you send us to reply to your enquiry, quote for the job and carry it out.
• We never sell your data, and we only use analytics cookies if you agree to them.
• Enquiries are kept for up to a year. Photos, videos and documents you upload are deleted automatically after about six months.
• Some of the services we rely on are based in the United States. We explain which, and how your data is protected, below.

What we collect and why

When you send an enquiry through our website. We collect your name, phone number, the town or postcode of the job, your email address if you give it, the type of enquiry, and whatever you tell us about the job. We use it to reply, to give you a quote and, if you go ahead, to arrange and carry out the work. Our lawful basis is that you have asked us to take these steps before entering into a contract, and our legitimate interest in answering the enquiries people send us.

Photos, videos and documents you upload. Pictures of the job help us quote accurately. They may show your property, your belongings, and anything else in view, such as people or vehicle number plates. We use them only to understand and quote for the job, on the same lawful basis as your enquiry. Files are uploaded to secure storage, and we receive private links to them by email.

When you call, email or message us. If you contact us by phone, email or WhatsApp, we receive whatever you choose to share, including your number or email address, and use it in the same way. WhatsApp is run by WhatsApp LLC (Meta), and its own privacy policy applies to messages sent through it.

Keeping the website secure. To protect our enquiry form from spam and abuse, we use Cloudflare Turnstile, which checks information about your browser and device, including your IP address, to tell people from automated programs. We also limit how often one IP address can send the form, and keep short-lived error logs, which can include what was submitted, so we can fix problems. Our lawful basis is our legitimate interest in keeping the website working and secure.

Analytics, only with your consent. If you accept analytics cookies, Google Analytics records how the website is used: the pages you visit, when you click our phone, email or WhatsApp links, your approximate location, and the type of device and browser you use. It helps us understand which pages are useful. If you decline, no analytics cookies are set. Google may still receive basic signals that a page was viewed, without cookies or identifiers, which it uses to estimate overall visitor numbers. You can change your choice at any time with Manage your cookie preferences.

Your cookie choice. Our cookie banner, provided by CookieScript, stores your choice in a cookie so we don’t ask again on every page.

You don’t have to give us any personal data, but we can’t reply to an enquiry without a way to contact you.

Who we share it with

We share personal data only with the companies that help us run the website and deal with enquiries, and only for that purpose:

• Cloudflare, Inc. hosts the website, stores uploaded files, runs Turnstile and keeps our error logs.
• Postmark (ActiveCampaign, LLC) delivers the emails the website sends: your enquiry to us, and a confirmation to you if you give your email address.
• Discord Inc. carries a copy of each enquiry (without any uploaded files) into a private channel our team watches, so that nothing sent to us is missed, even if our email fails.
• Google LLC provides Google Analytics and Google Tag Manager, which loads our analytics and cookie banner. Analytics data is only collected as described above.
• CookieScript (Objectiveit UAB) provides our cookie banner and records your cookie choice.

We may also disclose personal data where the law requires it, or to establish or defend legal claims. We never sell personal data.

International transfers

Cloudflare, Postmark, Discord and Google are based in the United States, and may process your data there or elsewhere outside the UK. When data leaves the UK, we rely on the safeguards UK law provides: the UK Extension to the EU-US Data Privacy Framework for providers certified under it, or the UK’s approved contractual clauses.

How long we keep it

• Enquiries, and our emails and messages about them, are kept for up to one year after we last hear from you, and then deleted. This includes the copy described above. If you become a customer, we keep the records of your job for as long as the law requires.
• Uploaded files are deleted automatically about six months after upload, and the links we receive to them stop working after 180 days. Files uploaded for an enquiry that was never sent are deleted on the same schedule.
• Error logs are kept for no more than seven days.
• Analytics data is deleted by Google Analytics after two months.
• Your cookie choice is kept for as long as its cookie lasts, shown in the list below.

Cookies

Cookies are small text files that websites store in your browser. Cookies that are strictly necessary for the website to work don’t need your consent; all others are only set if you agree.

Your rights

You have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data deleted, where we have no reason to keep it;
• restrict how we use it, or object to our using it, in some circumstances;
• receive data you gave us in a portable format, where we rely on your consent or a contract;
• withdraw consent at any time, where we rely on it, for example with Manage your cookie preferences. This doesn’t affect anything we did before you withdrew it.

To use any of these rights, contact us using the details below. We will reply within one month, and may need to confirm your identity first.

If you are unhappy with how we handle your data, please tell us so we can put it right. You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator, at ico.org.uk (opens in a new tab) or on 0303 123 1113.

Keeping your data safe

Enquiries and uploads travel over encrypted connections. Uploaded files are kept in private storage, and can only be downloaded through links that are hard to guess and expire. Only the people who need your data to deal with your enquiry can see it, and the companies we work with are bound to keep it confidential.

Changes to this policy

We will update this policy when the way we handle personal data changes, and show the new effective date at the top.
